Can I share Alliance Genie™ insights with my supervisor?

Yes, two ways. You can bring the Alliance Genie™ report into supervision yourself. Dimension scores, flagged moments, and transcript excerpts give your supervisor specific evidence to react to instead of your recollection.

If your supervisor also uses Mentalyc, you can connect accounts and share sessions directly on the platform. They see the same analyzed sessions you do, in context, and you can review them together. That's the closest thing to having a supervisor sit in on the session itself.

What questions should I bring to supervision about a specific client?

Alliance Genie™ helps you walk into supervision with specific moments instead of vague impressions. After analyzing your session, it flags ruptures, missed bids, engagement shifts, and patterns in how you handled resistance or sensitive content, all tied to exact transcript moments.

Mentalyc plans start at $14.99/month. The free trial gives you full PRO access for 14 days, enough to generate 15 complete notes, with no credit card required. Solo plans are designed for individual therapists and counselors. Group Practice plans add shared templates, centralized billing, and supervision features. How long does it take to set up Mentalyc?

Under 5 minutes. Sign up with your email, choose your note format (SOAP, DAP, BIRP, or others), and generate your first note. No credit card is required during the 14-day free trial. You do not need to change your EHR, install software, or migrate any data. If you want to sync notes to SimplePractice, TherapyNotes, or another EHR, integration takes one additional step and is guided inside the app.

Can social workers and counselors use Mentalyc to create care plans?

Yes. Mentalyc works for licensed clinical social workers (LCSW), mental health counselors (LPC, LMHC), marriage and family therapists (LMFT), and psychologists. The treatment planning software supports care plans, treatment plans, and progress tracking across individual, couples, family, and child therapy. You can customize templates to match your documentation style and your agency or insurance requirements.

Does Mentalyc support supervision notes?

Yes. Mentalyc generates documentation for supervision sessions, including supervisee progress notes and supervisor sign-offs, structured for licensing board requirements. Supervision notes are included in every Team plan seat at no extra cost, so both supervisors and supervisees in your group practice get full access. This is not available in most AI note tools built for solo therapists.

Can I see all my clinicians' documentation in one place?

Yes. Your practice dashboard gives you an overview of all active clinicians, their caseloads, and documentation status. You can drill into individual clinicians or look at practice-wide patterns without scheduling weekly check-ins. Owners and admins can review team members' notes and client information, view unsaved notes, and assign or reassign seats from the same dashboard.

What happens to notes if a clinician leaves the practice?

All documentation stays under your practice account. You retain full access regardless of clinician turnover, which matters for audit trails, continuity of care, and licensing board obligations. Departing clinicians lose access to client records when their seat is reassigned, but the practice owner keeps everything.

How do I get my team started? Do I need to talk to sales?

No sales call needed. Sign up, choose the group plan, and invite your clinicians via a link. You can add or remove seats anytime from your dashboard.

How does the group plan pricing work?

One flat price per clinician, per month, $49.99/seat billed annually or $59.99/seat billed monthly. Every seat on the Team plan gets unlimited notes and full access to all features, including group therapy notes, supervision notes, treatment plans, Alliance Genie™, and Progress Tracker. No tiered plans, no per-session charges, no "basic vs. advanced" per clinician. If your team has a mix of full caseloads and lighter schedules, everyone pays the same rate and gets the same tools.

Can I customize the client consent form for my practice?

Yes. The consent form template provided by Mentalyc is fully editable. You should customize it to include:

  • Your practice name, address, and license number
  • Your specific fee structure and cancellation policy
  • Any state-specific mandatory disclosures required by your licensing board
  • Your telehealth or in-person session policies

Do clients need separate consent for AI session notes?

Yes. If you use an AI scribe to assist with session documentation, clients should provide separate informed consent for AI-assisted note generation, this is distinct from the general therapy consent form.

This is considered best practice for HIPAA compliance and ethical standards. It ensures clients understand:

  • That their session audio or content is being processed by an AI system
  • How that data is stored, anonymized, and deleted
  • That they have the right to decline without affecting their care

Is the EHR integration HIPAA-compliant?

Yes. Mentalyc delivers HIPAA-compliant AI therapy documentation with a signed BAA and SOC 2 Type II certification — the same HIPAA-compliant AI notes workflow applies whether you use the AI therapy notes integration with SimplePractice, TherapyNotes, Jane App, ICANotes, or TheraNest. Session audio is processed and immediately deleted. Notes are encrypted in transit and at rest. Your session data is never used to train AI models. You can download a signed BAA from your account settings.

How does the EHR sync work: is it a Chrome extension?

Yes. Mentalyc uses a Chrome extension to connect directly with your EHR. Once installed, a button appears inside your EHR client chart. Here is how the three-step process works:

1. Write or generate your therapy note in Mentalyc after the session.

2. Open your client chart in SimplePractice, TherapyNotes, Jane App, ICANotes, TheraNest, or any other web-based EHR.

3. Click "Insert into EHR". Mentalyc places each section of the note into the correct field automatically.

No copy-pasting, no reformatting, no manual cleanup. The extension works with any EHR that runs in a browser. If your EHR is web-based, Mentalyc connects to it.

Does Mentalyc work with my existing EHR?

Mentalyc works alongside your existing EHR, you don't need to switch systems. Using the Mentalyc Chrome extension, you write your therapy notes in Mentalyc and send them directly into your EHR in one click. It currently works with SimplePractice, TherapyNotes, Jane App, ICANotes, TheraNest, Valant, and more.

How does Alliance Genie™ analyze my sessions?

Alliance Genie™ evaluates your session across 5 clinical dimensions and 27 areas: using a framework grounded in Bordin’s working alliance model, the same theoretical foundation behind the Working Alliance Inventory, plus four additional dimensions that paper scales can’t reach: Therapeutic Framework, Session Management, Therapeutic Relationship, and Therapeutic Process.

The audio is processed into an anonymized transcript (no names or identifying details), then deleted. The AI reviews the transcript the way a supervisor would, looking at what strengthened the alliance, where engagement shifted, how you navigated resistance or sensitive topics, and what you might try differently next session.

You receive a structured feedback report: what went well, what you may have missed, and concrete suggestions for your next session. Over time, you can track how your scores across each dimension evolve.

What if I already use FIT, MyOutcomes, or the ORS?

Those tools measure outcomes and alliance via client-reported scores, they’re questionnaire-based, meaning the data quality depends on clients completing forms consistently. Alliance Genie™ is complementary, not competing: it gives you session-content analysis that those tools can’t provide, since they don’t have access to what actually happened in the session.

If you already use FIT or ORS, Alliance Genie™ fills in the picture between scores, helping you understand *why* a client’s ORS dipped, not just *that* it did.

Can I use Alliance Genie™ feedback for supervision or CE credits?

Alliance Genie™ doesn’t count toward CE credits. But for supervision, it works two ways:

If you have a supervisor, the session-specific feedback is a strong preparation tool, you come in with flagged moments and exact transcript quotes rather than relying on memory. That makes supervision time more focused and productive.

If supervision isn’t currently accessible, whether due to cost, availability, or your stage of licensure, Alliance Genie™ can serve as a reflective practice substitute. It gives you the kind of structured, session-level feedback that supervision would otherwise provide, on your own schedule.

How is Alliance Genie™ different from using the WAI or Session Rating Scale?

The Working Alliance Inventory (WAI) and Session Rating Scale (SRS) are validated self-report instruments, your client fills them out, you score them, and you get a number. They’re useful but depend on client compliance, add session overhead, and only capture what clients consciously report.

Alliance Genie™ works differently: it analyzes the session itself, extracting alliance signals from what actually happened in the room, engagement patterns, rupture moments, missed opportunities, without any forms or scoring. Instead of a number, you get specific moments flagged in your transcript with observations about what happened and why it matters clinically.

I already use PHQ-9 or GAD-7 regularly, does Mentalyc add anything?

Yes, it fills the gaps between your scored assessments. Standardized measures like PHQ-9 or GAD-7 give you a snapshot every 4-6 weeks when you administer them. But a lot happens in the sessions in between, symptom shifts, goal progress, changes in how your client talks about their experience, that those forms don’t capture.

Mentalyc tracks progress continuously from every session, so you have a richer longitudinal picture running alongside your formal assessments. When your next PHQ-9 comes back lower, you’ll already know why, because you’ve been watching the trend session by session.

How does Mentalyc support measurement-based care?

Measurement-based care (MBC) typically means administering routine outcome monitoring tools and using the data to guide treatment. Mentalyc enables MBC without the traditional overhead of scored measures.

Instead of relying on client self-report scales, AI extracts structured progress data from every therapy session, symptom severity changes, treatment goal attainment, and alliance dynamics. You get the evidence-based outcome tracking that MBC requires, integrated into your clinical documentation workflow, with zero extra steps for you or your clients.

How is this different from PHQ-9, GAD-7, PCL-5, or ORS questionnaires?

Standardized scored measures like the PHQ-9 (depression), GAD-7 (anxiety), PCL-5 (PTSD), ORS, and DASS-21 require clients to fill out self-report scales before or after sessions. Many clients skip them, rush through, or give socially desirable answers.

Mentalyc takes a different approach: it extracts progress signals directly from your session content. If a patient revokes consent under Part 2, what happens?

Under Part 2, consent/authorization handling matters; generally, revocation affects future disclosures, not actions already taken based on valid consent.

Our agency treats SUD clients. What do we need to do?

Confirm whether you handle Part 2-protected records, and if yes, use a Part 2-compliant consent/authorization process (with the required elements).

Do you provide a form/certificate that “confirms Part 2 compliance”?

No. Part 2 compliance depends on whether Part 2 applies to the provider and whether the provider has obtained Part 2-compliant consent/authorization and follows Part 2 disclosure rules. Part 2 consent has required elements set by regulation.

Is Mentalyc compliant with 42 CFR Part 2?

Mentalyc provides HIPAA-aligned safeguards under a BAA. If a provider is subject to Part 2, the provider is responsible for obtaining any Part 2-required patient consent/authorization before using Mentalyc to process Part 2-protected SUD records. Can an AI progress tracker help with insurance reviews and medical necessity documentation?

Is Mentalyc’s AI progress tracker HIPAA compliant and secure for clinical data?

Does Alliance Genie™ record or store my sessions?

Alliance Genie™ temporarily records your session and keeps audio just long enough to create an anonymized transcript, no names or personal details included. The audio is deleted immediately after. Alliance Genie™ uses this anonymized transcript to extract key insights and highlight important moments, giving you helpful feedback, kind of like having a supervisor by your side.Everything is handled with strict privacy and security, fully HIPAA- and SOC 2-compliant.

Mentalyc supports the full range of therapy styles and client types in one platform. Supported modalities include CBT, DBT, EMDR, psychodynamic, humanistic, ACT, IFS, play therapy, ABA, social work, and PMHNP. Supported client types include individuals, couples, children, and families. Every template is fully editable, usable as-is, or buildable from scratch in the Template Builder, so notes match your clinical approach.

Play therapy: since sessions are often non-verbal, use dictate-a-summary or type-a-summary to capture play themes, symbolic content, interventions, and developmental observations.

Plan note: couples, child, and family client types are on the PRO plan and above. BASIC and MINI support individual adults only.

Does Mentalyc support intake notes and Mental Status Exam (MSE) documentation?

Yes. Mentalyc generates structured intake notes and Mental Status Exams (MSE) automatically. Intake templates cover presenting problem, history, risk assessment, and treatment goals, and you can customize any section in the Template Builder.

The MSE can be used two ways in Mentalyc: as a standalone assessment, or as a section inside any progress note. It covers appearance, behavior, mood, affect, thought process, cognition, insight, and judgment, and populates from what was discussed or observed during the session. This is useful for psychiatrists, PMHNPs, and any clinician whose documentation standards require a formal MSE.

What are my billing options?

You can pay monthly for flexibility, or choose annual billing to save up to $300, our best-value option. You can switch plans or manage billing anytime from your account settings.

Will my boss be aware that I am using Mentalyc?

If you purchased the plan yourself, your supervisor or practice manager won't know you're using the app unless you choose to share that information.

However, if your practice purchased the plan for you, they may be able to see the clients linked to your account. If you're working with clients who aren't part of the group practice, we recommend using a separate personal account to ensure client confidentiality.

How does Mentalyc capture session content?

Mentalyc offers four ways to get your session content in:

Live listening: the app listens in real time during in-person or telehealth sessions. No integrations needed. Works alongside any video platform (Zoom, Google Meet, Doxy.me, SimplePractice Telehealth) or phone call.

Upload a recording: record separately and upload the audio file after. Works for phone call sessions too. Supports iPad.

Dictate a summary: speak your session summary by phone or computer and let Mentalyc turn it into a structured note.

Type a summary: write a brief summary manually and Mentalyc generates the full note from it.

Back-to-back sessions: Mentalyc processes one session per recording. If you record two consecutive clients in one file, you will get one combined note with no way to split. For back-to-back scheduling, use live listening and start a new session for each client, or upload separate recordings.

Mentalyc runs on desktop, mobile browser, and iPad. Note editing and signing is best done from a computer.

Do you use my data for AI training purposes?

No. We do not use your data to train AI models.

Our platform is HIPAA, PHIPA, PHIA, PIPEDA, and SOC 2 Type II compliant and built to the highest security standards, so your data is always protected, private, and only accessible to you.

We also do not sell or share your data with others. You have full control over what you store in Mentalyc, and you can delete it at any time.

Does Mentalyc provide a BAA?

Yes! When you create an account, you agree to our BAA. You can review it anytime in your profile and download a signed version if needed, just click [Generate BAA].

Does Mentalyc do psychiatry notes?

Yes. Mentalyc supports psychiatric workflows, including those of Psychiatric Nurse Practitioners (PMHNPs). Custom note layouts cover psychiatric evaluations, medication management, and more.

Mentalyc also captures medication details, dosages, and any changes discussed during sessions, so prescribing documentation is handled automatically alongside clinical notes. With the flexible Template Builder, you can include or exclude any section to fit your exact workflow.

What does Mentalyc do with my session recordings?

Mentalyc temporarily uses your session recording to create a transcript. We securely store the audio for up to 3 days, just in case something needs to be fixed or retried with your note. After that, the audio is automatically deleted.

The transcript we create is fully anonymized: it never includes names or personal details. Anonymizing means removing identifying details from transcripts to keep sessions private. We don’t require identifiable client data to generate notes, and we store only the minimum necessary information to provide value to clinicians, nothing more.

For those who prefer a balance, we also offer partial anonymization: we keep limited details like first names while removing sensitive identifiers. This is especially helpful for therapists who need clearer context, like in family sessions, without compromising security.

Everything is handled with care and stays fully HIPAA- and SOC 2 Type II-compliant.

Are Mentalyc notes insurance-compliant and audit-ready?

Yes. Mentalyc notes are insurance-compliant and audit-ready. Every note documents medical necessity by capturing current symptoms, diagnosis, and impact on daily functioning, which insurers require to justify treatment.

Mentalyc also maintains the golden thread across sessions by referencing prior sessions, presenting problems, and stated treatment goals, so your longitudinal record stays coherent for audits. Intervention suggestions are evidence-based. Treatment Plans are customizable with measurable objectives for progress tracking.

This combination of medical necessity documentation, golden thread continuity, and measurable goal tracking meets the standards insurers and licensing bodies require.

Do you have special discounts?

Yes, we do!  If you’re a pre-licensed therapist, intern, or trainee working independently toward licensure, we offer a discount just for you. We know this part of the journey can be challenging, long hours, often with little or no pay, so this is our way of supporting you as you move forward.

Unfortunately, we do not offer discounts for military personnel, veterans, non-profit organizations, or NGOs at this time.

Does Mentalyc have a mobile app for AI note taking?

Not yet. Mentalyc runs on your phone's browser, no app needed. To make it feel like a native app, add a shortcut to your home screen. See our step-by-step guides for Android and iPhone/iPad. This way Mentalyc is always one tap away.

How do I cancel my subscription?

You can cancel your subscription at any time by going to your client profile, selecting “Manage Subscription,” and clicking “Request a cancellation.”

After canceling, you’ll still have access to your remaining credits and notes until the end of your current billing period, whether that’s monthly or yearly. This means your access continues for the full duration of your subscription cycle, not just until the end of the calendar month.

Once your billing period ends, you won’t be able to create new notes or access past records. If you decide to return later, you can easily resubscribe to regain full access to your account and data.

Are session transcripts created in Mentalyc considered medical records?

In Mentalyc, session transcripts are fully anonymized, they don’t include names or any information that could identify a specific client or therapist. Because of this, they are not considered medical records. However, if you choose to keep transcripts linked to a client's name in your own records, those could be treated as part of their medical file, depending on your local regulations.

Pro, Super, Team: Full access, pinpoint missed opportunities and areas for improvement within transcripts, view key quotes and alliance recommendations, and track trends in each client’s profile over time.

What note formats are available in Mentalyc?

Mentalyc offers a wide variety of note templates to suit your needs, including SOAP, DAP, PIRP, SIRP, GIRP, BIRP, PIE, EMDR, Play Therapy, Psychiatry notes, and more. You can create intake notes, progress notes, and treatment plans.

It supports all client types: individuals, children, couples, and families. Notes can be created from recordings, transcripts, dictation, or written summaries, whatever works best for you. Everything is easy to customize to fit your workflow and style.

Can I still customize the plan?

Yes. You always have the final say. Mentalyc gives you smart starting points that are fully editable.

Does Mentalyc offer group therapy notes?

Yes. Mentalyc generates group therapy notes both for the session as a whole and individual progress notes for every participant, automatically, without manual splitting or copy-paste between records. Group notes are included in the SUPER plan and in every seat of the Team plan, so every clinician in your group practice gets full access at no extra cost.

Does Mentalyc maintain the golden thread in therapy documentation?

Yes. The golden thread in therapy documentation means every note connects back to the client's treatment goals, from initial assessment through each session note to discharge. Insurers and licensing bodies increasingly require this continuity as evidence of clinical necessity and treatment effectiveness.

Mentalyc maintains the golden thread by keeping your full session history in one place, so each note is contextualized against prior sessions, presenting problems, and stated goals. We recommend saving every note in Mentalyc, even if you also copy it into your EHR, so your longitudinal record stays intact and coherent over time.

How can I manage my billing?

Just head to your profile and click “Manage subscription.” From there, you can view invoices, update payment details, and make changes to your plan, like upgrading or downgrading.

Can my clients access the notes on Mentalyc?

No, your clients do not have direct access to your notes in Mentalyc. Only you can view them. If you choose to share notes, you can do so by downloading them and sending them via email or printing them out. Your notes are private, secure, and accessible only by you or someone you’ve specifically authorized.

Is there a client consent form available for use on Mentalyc?

Yes! Mentalyc provides a ready-to-use client consent form designed by industry experts to ensure privacy and compliance. You can easily download, customize, and share it with your clients while keeping a copy for your records. We also offer helpful talking points to guide your discussions about consent. And if a client prefers not to be recorded, you can still use Mentalyc’s dictation feature to document sessions smoothly.

Can I invite nursing staff or interns?

Does Mentalyc use human scribes?

No. Mentalyc does not use human scribes. All transcripts and notes are generated by AI, using machine learning algorithms, large language models, and statistical models. Your session audio is never listened to, reviewed, or transcribed by a human. This is how Mentalyc keeps costs low and turnaround fast while maintaining HIPAA compliance.

Can I track progress if I don't use the Treatment Plan?

Yes! While having a treatment plan is definitely helpful, since it lets you track progress toward specific goals, Mentalyc can still help you monitor client progress even without one. In those cases, we track changes in symptoms, client presentation, and overall session context to give you a sense of continuity and outcomes over time.

Can I use Mentalyc with my EHR?

Yes. Mentalyc works alongside your existing EHR. You do not need to switch or replace anything. Using the Mentalyc Chrome Extension, you write notes in Mentalyc and push them directly into your EHR in one click. Your EHR continues to handle scheduling, billing, and records while Mentalyc handles note generation, treatment planning, and progress tracking.

Can I create treatment plans using Mentalyc?

Absolutely! Treatment planning is available on the BASIC plan and above. Mentalyc functions as therapy goal tracking software, supporting guided goal setting, intervention suggestions, goal attainment tracking, and customizable templates. Can I change the number of team members on the Team Plan later?

Yes! You can update your team size anytime from your dashboard. To add more clinicians, just purchase additional seats, then you’ll be able to invite new team members right away.

Definitely not! No technology can replace your clinical intuition, empathy, or deep connection with your clients. But we all miss things sometimes, that’s where Alliance Genie™ helps. Is Mentalyc secure and compliant with privacy regulations?
